Calee Privacy Policy
This Privacy Policy explains how personal information is handled across the Calee services listed in section 2 – Calee Home and the Calee display, the Calee mobile app including signed-out Guest mode, the Calee Portal and organisation services, Calee’s public websites, and public or shared Calee calendar pages.
1. Who we are
The Calee services covered by this policy (the “Service”) are operated by:

Where Calee is provided to you through a school, club or other organisation, that organisation is in many cases the primary controller of personal information stored in the Service, and My Calee Pty Ltd acts as a service provider or processor on their behalf. Where you use Calee directly as a household, without an organisation, My Calee Pty Ltd handles that information as the operator of the Service.
We aim to handle personal information in a way that is consistent with applicable Australian privacy requirements, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply to us, and this policy is written to that standard. Whether a particular obligation under that Act applies to My Calee Pty Ltd depends on matters such as the nature and size of our business; this policy does not by itself decide that question. Where those requirements apply to us, we will meet them.
2. Services covered by this policy
This Privacy Policy applies to the Calee services listed below. It covers personal information processed when you:
- Use Calee Home and a Calee display in a household, school, club or other organisation
- Use the Calee mobile app, whether in signed-out Guest mode or with a Calee account
- Sign in to or use the Calee Portal at https://portal.calee.com.au, or another Calee service address provided to your organisation
- Use Calee calendars, chores, meals, tasks, file storage or collaboration tools
- Connect an external calendar, such as Google Calendar, Apple iCloud or Outlook, to Calee
- Use AI-assisted features available within the Service
- Open a public or shared Calee calendar page or event link
- Buy a Calee display from us through the checkout on our website
- Visit Calee’s public websites, such as https://calee.com.au/, or contact us for support
Not every section applies to every user. A section that describes a particular feature or service applies only where you or your organisation actually use it. For example, section 6 applies only where AI-assisted features are used, section 7 applies only where Calee is used in a school or educational setting, and the Google Calendar section applies only where a user connects a Google Calendar account.
Guest mode in the Calee mobile app does not require a Calee account. In Guest mode, the calendar subscriptions you add are stored locally on your device, and the app retrieves each subscribed calendar directly from its source address. The provider hosting a subscribed calendar receives the ordinary network information involved in serving that request, such as your device’s IP address, in accordance with that provider’s own privacy policy.
Third-party services that you choose to connect to Calee, such as an external calendar provider, continue to be governed by that provider’s own privacy policy in addition to this one.
3. Types of personal information we process
Depending on how you use the Service and, where Calee is provided through an organisation, how that organisation configures it, the following categories of personal information may be processed:
- Account details – name, username, email address, organisation, roles or groups, profile image (if provided).
- Household and planning content – calendar events and their titles, times, locations, notes, participants, attachments and reminders, together with tasks, chores, shopping and meal-plan entries you create in the Service.
- Files and documents – any content you or, where applicable, your organisation choose to upload or store.
- Usage and technical data – IP address, browser type, approximate location (derived from IP), device information, log entries and security events.
- Order and payment information – where you buy a Calee display: your name, contact and delivery details, what you ordered, the amount, and the date and status of the payment or any refund. We do not receive or store your full card number. See section 11.
- Support communications – messages, tickets and logs shared with our support team when resolving an issue.
Some of this information may relate to students or children where schools use the Service for educational purposes.
4. Why we collect, use and disclose personal information
We collect, use and disclose personal information for the purposes described in this policy, and not for unrelated purposes. In practice that means:
- To provide the Service – to set up and run Calee for you and, where applicable, for your school, club, business or other organisation, under our arrangement with you or with that organisation.
- To keep the Service secure and working – to authenticate users, prevent and investigate misuse, diagnose faults, and maintain the reliability and performance of the Service.
- To supply and support what you buy – to process and deliver an order for a Calee display, handle cancellations, returns and refunds, and answer enquiries you or your organisation raise with us.
- To operate a feature you have chosen to use – some features only run when they are turned on. The AI-assisted features described in section 6 are an example: that processing happens only where the feature is actually used.
- To meet legal and regulatory obligations – where we are required to collect, keep, disclose or produce information by law, including keeping the financial records we are required to keep.
Where we ask for your consent to something, you can decline it. You can later withdraw consent by contacting us or, where the feature is controlled by your organisation, by asking that organisation. Withdrawing consent does not undo anything already done in reliance on it, and some features cannot operate without the information they need.
5. How we use personal information
We use personal information to:
- Provide access to calendars, tasks, chores, meals, files and collaboration tools
- Sync and display events on Calee hardware devices
- Send notifications and reminders configured by users or administrators
- Provide AI-assisted features such as summaries and event drafts
- Monitor system performance, security and integrity
- Respond to support requests and troubleshoot issues
- Comply with legal obligations and enforce acceptable use policies
6. AI-assisted features
Where an AI-assisted feature is used, the relevant data is sent to an AI service operated by My Calee Pty Ltd, which currently uses OpenAI as its third-party AI provider to generate the result. The AI-assisted features currently offered are:
- Calendar summaries – generating a short daily summary of upcoming calendar events (for example, the “Smart summary” on the Calee display). The event details for the day being summarised, such as titles, times, locations and descriptions, are sent to the AI provider to produce the summary. The summary may group events or highlight preparation items.
- Event drafts from an image – extracting proposed event details, such as a title, date, time and location, from an image you choose to submit (for example, a photo of a school newsletter or flyer), so you can review and edit a draft event before saving it. The image you submit is sent to the AI provider for this extraction. The Calee AI service processes the image transiently and does not save the image; it returns draft event details only.
These features are used only when you or your organisation choose to use them: a summary is generated only where the smart summary option is turned on, and an image is processed only when you submit one. AI processing is limited to what is necessary to provide the requested feature. The generated summary or draft event is returned to your app or display; a draft event is stored in the Service only if you choose to save it as an event.
AI output is generated automatically and may be incomplete or wrong. It is provided for convenience, it is not authoritative, and it is not a substitute for the official schedule or information published by your household, school or organisation. Always check anything that matters against the original source.
These features produce suggestions that you review – a summary you read, or a draft event you edit and choose whether to save. We do not use them to make automated decisions about you that produce legal effects, or effects that are similarly significant for you.
What OpenAI does with that information within its own systems is governed by the arrangement between OpenAI and My Calee Pty Ltd and by OpenAI’s own terms. This policy does not describe those arrangements, and nothing here should be read as a statement by us about how OpenAI retains or otherwise uses that information.
7. Schools, students and children
Where the Service is used in a school or educational environment, the school or institution:
- Determines what student and parent information is entered into the system
- Obtains any required parental or guardian consents
- Defines access rules and permissions for staff, students and families
- Is responsible for compliance with applicable education and child-safety laws
My Calee Pty Ltd provides the platform and hosting and processes personal information as instructed by the institution, except where we are required by law to act otherwise.
8. Disclosure of personal information
We may share personal information with:
- Hosting and infrastructure providers – for secure storage, backups and operation of the Service.
- Email and notification providers – to deliver alerts and messages configured in the Service.
- AI and analytics providers – where integrated and authorised to support AI-assisted or diagnostic features.
- Our payment provider – where you buy a Calee display from us. See section 11.
- Professional advisers – such as legal or accounting advisers, where necessary for business operations.
- Authorities – where required by law, regulation or court order.
We do not sell personal information to third parties.
9. Connected calendar services
Google Calendar integration
Calee lets users connect Google Calendar so selected Google Calendar events can be displayed inside the Calee family calendar and Calee tablet experience.
Calee accesses Google Calendar only with the user’s consent.
Calee uses Google Calendar calendar-list read-only access to show users the Google calendars they are subscribed to, so users can choose which calendars to display in Calee.
Calee uses Google Calendar event read-only access to read and display events from the calendars selected by the user.
Google Calendar events are read-only in Calee. Users cannot create, edit or delete Google Calendar events from Calee.
Calee does not request Google Calendar write access and does not modify Google Calendar data.
Calee does not access Gmail, Google Drive, Google Contacts or other Google services.
Calee does not sell Google user data, use Google user data for advertising, or transfer Google user data except as necessary to provide the Calee calendar feature.
Calee does not use Google Calendar data to develop, improve or train general AI or machine learning models, and does not transfer Google Calendar data to third-party AI services for model training.
Users can disconnect Google Calendar from Calee at any time. Disconnecting removes Google Calendar events from Calee but does not delete, edit or change anything in the user’s Google Calendar.
Apple iCloud Calendar integration
Calee can display an Apple iCloud calendar using Apple’s calendar sharing feature.
Calee does not ask for your Apple Account password or an Apple app-specific password, and you do not sign in to Apple through Calee.
Instead, the current setup uses Apple’s Public Calendar sharing mechanism. To connect an iCloud calendar, you turn on Public Calendar sharing for that calendar in the Apple Calendar app and paste the resulting sharing link (a webcal:// or https:// address) into Calee. Under Apple’s sharing model, anyone who has that link can read the events in that calendar, so the link should be treated as sensitive and only shared deliberately.
What Calee receives is the sharing link you paste and the calendar events that Apple publishes at that link, such as event titles, times, locations and notes. Calee receives the link so it can periodically retrieve the calendar from Apple and show its events on your Calee calendar and display.
Because the sharing link can contain a private access token, Calee stores it encrypted on the server. Only the host name of the link (not its path or token) is kept in readable form for operational purposes, and the link is not written to logs.
The connected Apple calendar is read-only in Calee. Calee only retrieves the published calendar; it cannot create, edit or delete events in your Apple calendar, and it cannot see iCloud calendars you have not shared.
You can remove a connected Apple calendar from Calee at any time. Removing it deletes the calendar and its events from Calee and stops further retrieval; the stored sharing link is deleted after a short retention period once it is no longer used by any account. Removing the calendar from Calee does not change anything in your Apple calendar. You can also revoke the link itself at any time by turning off Public Calendar sharing in the Apple Calendar app, which stops anyone with the link, including Calee, from reading that calendar.
Outlook Calendar integration
Calee can display an Outlook calendar using Outlook’s own calendar sharing feature.
Calee does not ask for your Microsoft or Outlook password and does not request Microsoft account credentials for this connection; you do not sign in to Microsoft through Calee.
Instead, Calee gives you a personal Calendar Share Alias – an email address used only for receiving calendar sharing invitations. You share your Outlook calendar to that alias from within Outlook, and Outlook sends a calendar-sharing email to the alias.
That inbound sharing email is received and processed through Brevo, the email service provider Calee uses for inbound email. This means the sharing email – including its subject, sender details, message content, and the sharing-invitation attachment that contains the shared calendar’s address – passes through and is handled by Brevo. This processing is carried out solely to set up the calendar connection you requested; it is not used for advertising or marketing.
Calee extracts the shared calendar’s address from that email and subscribes to the calendar. After the connection is set up, calendar events are retrieved directly from Microsoft’s servers; the ongoing calendar content does not pass through Brevo.
The connected Outlook calendar is read-only in Calee. Calee retrieves and displays the shared events; it cannot create, edit or delete events in your Outlook calendar.
You can remove a connected Outlook calendar from Calee at any time, which deletes it from Calee without changing your Outlook calendar. You can also reset your Calendar Share Alias, which stops the old alias from receiving further sharing invitations, and you can stop sharing the calendar from within Outlook at any time.
10. Public and shared Calee calendars
Where you or your organisation choose to share a Calee calendar publicly, or share a link to a single event, that calendar or event is served to anyone who opens the link. No Calee account and no sign-in is required to view it.
When someone opens one of these public pages, our servers receive the ordinary network and request information involved in serving a web page, such as the IP address and browser details, and the shared calendar or event content is displayed. These public calendar and event pages do not carry advertising or measurement pixels.
You control what is shared: a calendar or event is only reachable this way while you or your organisation keep it shared. Treat a public calendar or event link as readable by anyone who has it.
11. Payments for a Calee display
Where you buy a Calee display from us, the checkout is hosted by Square, our payment provider. Choosing a buy option takes you to a Square checkout page, and you enter your card details there, on Square’s own page. My Calee Pty Ltd does not receive or store your full card number.
Square takes the payment, issues your receipt, and processes any refund we ask it to make. Square handles the information you give it under its own terms and privacy policy.
We receive and keep information about the order itself – your name, contact and delivery details, what you ordered, the amount, and the date and status of the payment or refund. We use it to fulfil and deliver your order, handle cancellations, returns and refunds, answer support enquiries, keep the accounting and tax records we are required to keep, and help detect and prevent fraud.
This policy does not describe how Square stores or processes information within its own systems, or where it does so.
12. Overseas processing
The primary hosting for this Service is intended to be within Australia. However, some of the service providers and support tools we use may process personal information outside Australia. We do not represent that all Calee data is stored or processed only in Australia.
We have not published a list of the countries involved, because that depends on arrangements made by individual providers. If you want to know more about where a particular provider processes information, contact us using the details in section 20 and we will tell you what we can.
Where data is transferred internationally, we take reasonable steps to ensure that appropriate protections are in place, for example through contractual safeguards or use of providers in jurisdictions with comparable data-protection laws.
13. Data retention
Personal information is retained for as long as necessary to:
- Provide the Service to you and, where applicable, your organisation
- Support legitimate business operations and security
- Comply with legal or regulatory obligations
Where Calee is provided through an organisation, that organisation may set its own data-retention and deletion policies within the Service. Backups may retain deleted information for a limited period before being overwritten.
14. Security
We implement reasonable technical and organisational measures to protect personal information, including:
- Access controls and authentication measures
- Encryption in transit (for example, HTTPS)
- Regular patching and maintenance of underlying systems
- Logging and monitoring for suspicious activity
However, no system is completely secure. Users and organisations also play a crucial role in security by:
- Using strong, unique passwords
- Managing user accounts and permissions appropriately
- Promptly reporting suspected security incidents
15. Privacy and security incidents
We maintain processes for identifying, investigating and responding to suspected privacy and security incidents affecting personal information in the Service. Where an incident affects information held in an organisation’s Calee account, we work with that organisation on the response.
Where the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth) applies to an incident, we will assess whether it is an eligible data breach and, if it is, make the notifications that scheme requires.
Not every security incident is an eligible data breach, and not every incident results in notification. What we do in a particular case depends on the facts of that incident and on what the law requires.
16. Access, correction and deletion
You can ask us to give you access to the personal information we hold about you, and to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. You can also ask us to delete personal information, or to stop or limit a particular use of it.
How to make a request. Contact us using the details in section 20. Tell us what you are asking for, and enough about yourself for us to find the right records. We may need to verify who you are before we act, so that we do not disclose someone else’s information to the wrong person. We do not charge for making a request.
What happens next. We will respond within a reasonable period. If we cannot give you access, or cannot make a correction you have asked for, we will tell you why and how you can take the matter further, including how to complain under section 17. If we correct information we have already disclosed to someone else, you can ask us to let them know about the correction.
Where an organisation holds the record. Where Calee is provided to you through a school, club, business or other organisation, that organisation manages the accounts and content in its own Calee account and may hold or control the information you are asking about. The quickest route is usually to contact that organisation directly. You can still come to us: we will help the organisation respond, and where we hold information ourselves we will deal with your request.
Some requests are subject to limits – for example where we are required by law to keep a record, where acting on the request would affect someone else’s information, or where content has already been shared through a public or shared Calee link and is no longer only in our hands.
17. Privacy complaints
If you think we have mishandled your personal information, please tell us so that we can look into it.
How to complain. Email info@calee.com.au with “Privacy complaint” in the subject line, or use the other contact details in section 20. To help us investigate, please tell us your name and how to contact you, what happened and roughly when, which part of Calee it concerns, and what you would like us to do about it.
What we will do. We will acknowledge your complaint, investigate it, and respond to you in writing within a reasonable period. If we need more information from you, or need more time, we will say so. We will explain the outcome and what, if anything, we propose to do about it.
If you are not satisfied. You can ask us to review our response. Where the Privacy Act 1988 (Cth) applies, you may also be able to complain to the Office of the Australian Information Commissioner (OAIC), which generally asks that you raise your complaint with the organisation first and give it a chance to respond. The OAIC publishes its complaints process at www.oaic.gov.au. Where Calee is provided to you through a school or other organisation, you may also be able to complain to that organisation.
18. Cookies and similar technologies
The Calee Portal and other Calee web interfaces may use cookies or similar browser technologies to:
- Maintain your login session and security
- Remember certain user preferences
- Support performance and diagnostics
These cookies are primarily functional and necessary for operation of the Service. Your browser settings may allow you to block or delete cookies, but this may affect functionality.
The Calee display and the Calee mobile app are native applications and do not use browser cookies. They store settings and similar operational information locally on the device — for example, calendar subscription details added in the mobile app’s Guest mode are stored on that device.
Calee’s public websites
Calee’s marketing pages on https://calee.com.au/ additionally use:
- the Meta advertising and measurement pixel, which records page views, selected website interactions, checkout initiation and order-confirmation events;
- Brevo, which supports the enquiry and newsletter forms and records website visits and campaign attribution.
These website tools receive information about your use of the public marketing pages, such as the pages you view, the referring link, campaign parameters, and any details you enter into an enquiry form. This website advertising and analytics measurement does not include calendar, chore, task or meal-plan content from the Service.
This Privacy Policy page and the other Calee legal pages do not carry those advertising or measurement tools.
19. Changes to this Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in the Service, legal requirements or best practices. The “Last updated” date at the top of this page indicates the most recent revision.
Continued use of the Service after an update means you acknowledge the updated Privacy Policy.
